一笔外贸单的开始往往始于出口商主动向潜在客户发信建立业务关系,而这个建立关系的开发函的内容,个人认为可以包括如下内容:
第一:说明客户信息来源,即如何取得对方的资料。
作为贸易商,个人SOHO者,可以通过驻外使馆商务参赞处、商会、商务办事处、银行、第三家公司的介绍,或者在企业名录、各种传媒广告、网络上寻得客户资料;也可以在交易会、展览会上结识;甚至是在进行市场调查时获悉。
因此我们可以如下方式来表明客户信息的来源:
1) We learned from the Commercial Counselor's Office of our Embassy in your country that you are interested in Chinese handicraft
2) MrBowins, Head of Arcolite Electric AG has recommended you to us as a leading importer in Korea of lightweight batteries for vehicles
3) We have obtained your name and address from the Internet
4) Our market survey showed that you are the largest importer of cases and bags in Egypt
当然还有很多的英文表达方式,我就不一一列出来了,反正大家只要知道就行。
第二:言明去函目的
一般来说,我们给客户写信,总是以开发业务,建立市场,拓宽产品销路为目的。所以我们可以有如下的表达方式:
1) In order to expand our products into South America, we are writing to you to seek cooperate possibilities
2) We are writing to you to establish long-term trade relations with you
3) We wish to express our desire to enter into business relationship with you
第三:本公司概述
我这里所说的本公司介绍,包括对公司性质、业务范围、宗旨等基本情况的介绍,以及对公司某些相对优势的介绍,比如:经验丰富、供货渠道稳定、有广泛的销售网等。我们可以用英文如下表达:
1) We are a leading company with many years' experience in machinery export business
2) We enjoy a good reputation internationally in the circle of textile
3) We have our principle as "Clients' needs come first"
4) A credible sales network has been set up and we have our regular clients from over 100 countries and regions worldwide
5) Located in Shanghai, we take the advantage to set up our solidified production basis in coasted and inland areas
第四:产品介绍
这一部分最重要,一定花心思去写。如果我们已经知道客户有明确的需求,比如需要某某服装,那么我们会选取某某服装进行具体的推荐性介绍,反正就是针对客户需求的特定介绍;如果我们只拿到客户的名片,不太清楚客户的需求,那么我们就把公司经营产品的整体情况,如质量标准,价格水平,打样速度、交货速度等作为笼统的介绍。
当然附上目录,CATALOGUE,报价单或者另寄样品供客户选择也是经常采取的做法。
1) ArtNo102 is our newly launched one with superb quality,fashionable design,and competitive price
2) We have a good variety of colors and sizes to meet with different needs
3) Our products are enjoying popularity in Asian markets

第五:激励性结尾
一般我们在开发信的末尾会写上一两句希望对方给与回应或者劝客户立刻采取行动的语句。
1) Your comments on our products or any information on your market demand will be really appreciated
2) We are looking forward to your specific inquiries
最后:任何可以打动客户的特殊东西都可以随信而发或者随样品而寄。
比如你在展览会上和客户拍的合照,可以随信而发,既可以提醒客户你是谁,让客户一下子就记住你,也可以更加表达你和客户的友好关系。
比如客户平常随意说出的某张一直在寻找的CD或者DVD,或者客户一直在找的一本书等等,你可以随着寄样品时一起寄出,让客户知道你一直关心着他们,你的SERVICE一直是最优秀的,你会在做生意的过程中关注任何需要注意的地方,会让客户更加放心你的做事态度。

一、新手写开发信常犯错误
1邮件写的过长。客人一般只有3秒时间看开发信,要让自己的信在3秒内给客人留下印象,所以要短,可以以60个单词为一个尺度。
2没有明确的主题,subject内容不突出,很容易被直接丢进垃圾箱。好的主题示例:Re: ABC inc/Home Depot vendor-solar light/DEF Co, Ltd Re:让客人难以断定以前是否联系过,不好直接把邮件扔进垃圾箱;ABC Inc对方公司名称;Home Depot vendor----突出自己是有实力的供应商;DEF--自己公司名称。
3长篇大论的工厂简介----都没兴趣看完。工厂简介主要介绍做什么产品,工厂实力(Walmart供应商,通过什么验厂,或者有什么证书等)
4主动语态用的太多,用被动语态可以使邮件显得更简洁明了
5用一些无意义的话,例如Do you want our product之类的。
开发信示范:

在开发客人之前,必须好好了解客人的情况。客人类型?零售商/中间商/分销商/杂货商。。客人产品主要卖给谁?终端消费者,或是大的零售商?产品售价多少?客人的产品是如何定位的,高端,中端,还是低端?客人的利润率多少?客人对产品有什么要求,是否需要通过什么验证?。。。。了解到诸多情况之后,才可以有针对地进行报价。
客人的利润率可以参考:超市的销售价一般是你ELC价格的2倍,零售的毛利润在100%。但是沃尔玛比较特殊,只有40%-60%的margin,所以他们在美国特别便宜~
至于ELC价格,就是estimated loading cost,就是货物到美国的到岸价,和你FOB的离岸价的差别就在于海上运费保险费以及当地的关税,所有的费用摊进去后,你就能计算出ELC价格。如果ELC价格低于超市销售价的50%,说明你的报价还算合理。基本上有成交的可能,美国的买家也能接受。但是这是direct的情况,如果你卖给港台的中间商,或者北美的importer,那价格就必须还要低,因为他们的利润要考虑进去。一般情况20%左右吧。
欧洲客人,那就不一样了,比如说德国,OBI和Metro这类大客人,没有美国这么固定的机制,价格变动比较大,利润率也差不多在80%-100%的样子。但是Aldi,Lidl这样的德国小超市,那价格就拼得相当凶。
在与客人的沟通过程中,要把握主动权,让客人跟着你的思路走:
1如果样品和价格都确认了,那么第一时间传PI给客人。Pls confirm and sign PI back soon!这样的话客人即使不签,也必须告诉你理由了
2客人嫌报价高怎么办?可以采取迂回策略,外壳的材料用差一点的,或者产品的规格稍微小一点,差异化报价----客人可能本来是把你的价格与其他供应商价格比较来砍你的价,你采用差异化报价,客人就失去了比较的参照物了。
3报价报了几次之后没消息怎么办?----一定要想办法让客人开口,告诉你原因。
要懂得从客人的角度审视自己的邮件--比如邮件中老是出现big discount等文字,容易让客人觉得你在坑他;或者客人嫌价格太高,你马上降价10%以上,客人心里暗想,这么容易就降价了,我得好好砍砍,逼出底价来。

无论是什么产品,开发信的标准都是一样的:
a、 简单:
语言要简炼,不要罗罗嗦嗦,言之无物。要知道,很多国外商人的耐心是很差的,你浪费他的时间就等于在谋财害命。
千万不要小看处理电子邮件的艺术,其中的关键就在于你能否很好的把握买家询盘的真正意图,从而给他最需要的最有针对性的答复。

b、 可信:
简单并不是要你省略最基本的礼仪,我相信任何一个人都不喜欢不礼貌的回复。和买家开始联系时还要注意,在电子邮件的后面,一定要附上你详细的,包括你的姓名、职位、公司名、电话、传真、E-mail地址、网址和公司地址等信息内容,给对方一个很正规的印象。有些厂商答复时常常丢三落四,很容易给人留下不良印象。

c、 恰当:
恰当其实是最不容易的!这里面不仅包含了前二个因素,更重要的,还需要专业。
(1)买家总希望和精通产品的人打交道,如果你在回复询盘时错误百出,一看就是外行,买家会认为你不是真正的生产厂家,或者对产品并不熟悉,很可能就一去不回。所以回复时一定要详细注明产品的规格、包装方式、功用、报价等资料。
(2)充分利用畅想外贸管理软件中电子邮件传递的优势,这样更能说明问题,同时也可以降低成本。
(3)发出邮件之前,要仔细的检查一下,有无拼写或语法错误,尽量把可能给别人的不良印象减到最小。
(4)报价要斟酌,不要留下太大的压价余地,否则会让买家产生怀疑。而且,要细分客户,也就是说根据客户所在不同的国家、地区给出不同的报价。比如欧美客户和南美、中东的客户大多数会在产品档次上要求不同,如果你给南美、中东的客户报欧美市场的价格,很可能会把对方吓跑。

d、 快速:
买家总希望尽快地得到回复,特别是互联网介入了国际贸易,很多国外买家更乐意应用这种方式,他们应用这种方式更多的原因是低成本和高效率。如果对客户的查询回复太迟,不仅会失去商机,而且会使对方对你的效率及能力产生怀疑。即使是不能立即回复的问题,也应该在内部商议后给予明确答复,切忌盲目应承,往往起反作用。

要不断的细致跟踪曾向你发过查询的客户;这一点非常重要!!!很多人往往觉得网上信息多、成交少,或者没有成交,就失去了信心,并对收到的查询不再重视,这是非常狭隘和愚蠢的做法。换位思考,换了你是买家,你会第一次就给一个你不了解的供应商下定单吗?更何况现在的市场基本都是买方市场,买家不管是通过电子商务还是传统商务手段,轻而易举就能获得无数供应商。所以,千万不要轻视买家的任何查询!

I’m not sure if I can help you but I have a few suggestions re email marketing

• If you send emails to new companies I would include a list of customers that you currently export to in various countries

• I would also include customer testimonials from your buyers This are very powerful and give you credibility

• Try to word your email differently from all the other suppliers They all look and sound the same so most of them will be deleted or ignored immediately

If you want to be noticed and if you want your email to be read you must be different and create an email that is interesting and will catch the attention of your prospective customer If you don’t then you will be rejected just like all the others Remember that companies like us and others who import product are very concerned about quality control of products
